Before launching your event, it’s important to review the essentials. This checklist highlights the main criteria you should double-check for a smooth launch.

The event details hold the main structure of an event and we have a separate guide for the ticket (race) details e.g. dates and prices.

Launching Your Event Checklist

When creating an event in Eventrac, double-check the following fields and assets:

  • [ ] Basic Event Information – Event description, location & participant capacity.

  • [ ] Entry Form Requirements – Participant questions, custom fields, and required info.

  • [ ] Terms and Conditions – Refund, Cancellation, and Participation Policies.

  • [ ] Refund Protection – Enable on all relevant tickets

  • [ ] Emails – Check you are happy with any personalisation in your transactional emails

  • [ ] FAQs – Have you learnt anything from any previous events that you could add to your faqs for your participants?

  • [ ] Course Map (TPX file) – Upload route maps where relevant.

  • [ ] Page Styling – Check your cover image, entry form logo, and other visual branding.

  • [ ] Payment Account – Make sure your payment account is connected.


Customer Journey Checks

It’s essential to walk in your participants’ shoes before opening your event. You should verify that your event setup aligns with your needs:

  1. Use the ‘Preview Page’ button next to your event title to see a live view of your landing page.

  2. Check that your cover image is displayed correctly and view it on mobile if possible.

  3. Confirm all other information on your landing page—ensure there are no redundant or blank pages.

  4. Verify that your logo appears correctly on the entry form.

  5. Are you capturing all necessary information.

  6. Use a 100% discount code to enter the event to complete the customer journey including receipt of the entry confirmation email. Just remember to remove yourself from the participant list after.

Tip: Repeat this journey on both desktop and mobile to ensure a seamless participant experience.
