Make the most of your last 7 days before launch

The week before entries open is your best chance to build momentum.

Written by Angus Williams

Here's one task a day to help you launch with sign-ups from the start.

Day 1: Upload your existing customer database

Goal: get your past entrants ready to hear about your launch first.

  • Export your customer data as a .CSV with First Name, Last Name and Email in separate columns.

  • Import it into a contact list (Email Marketing → Contact Lists).

  • Split customers into groups, such as previous entrants, regulars and lapsed customers.

  • Check every contact has opted in to marketing.

Day 2: Create a launch offer

Goal: give people a reason to enter now rather than later.

  • Choose an offer: early bird pricing, a discount code for past entrants, or a multi-buy deal.

  • Set a clear end date to create urgency.

  • Set it up in Eventrac, ready to mention in your launch email.

Day 3: Capture interest and recover lost sales

Goal: make sure no interested visitor slips away.

  • Add a subscriber form to your website so visitors can join your mailing list.

  • Check abandoned cart reminders are on (System Options → Abandon Cart Settings). They can lift completed entries by up to 33%.

  • Customise the reminder email with your branding and launch offer.

Day 4: List on discovery platforms

Goal: reach people actively searching for events to enter.

  • Choose platforms that suit your event, such as Find a Race, Ahotu, TimeOutdoors, runABC, RunUltra or Sportive.com.

  • Connect them to Eventrac so your events list automatically and entries sync back.

  • Check every listing's details, prices and entry links.

Day 5: Set up a referral programme

Goal: turn existing entrants into a source of new customers.

  • Choose an event to promote through word of mouth.

  • Decide on the reward: credit for the referrer, a discount for their friend, or both.

  • Create and activate your scheme (Referral Schemes → Create Referral Scheme).

  • Add the %referral_url% merge field to your Entry Confirmation email so every entrant gets their link.

Day 6: Explore ambassadors and partners

Goal: get other people promoting your events and bringing in entries.

  • Identify local athletes, clubs, shops and community groups with relevant audiences.

  • Decide on a reward, such as credit per entry or a discount for the people they bring in.

  • Create an ambassador scheme and give each partner a memorable custom code.

  • Contact your first potential ambassadors or partners.

Day 7: Make a test entry

Goal: launch knowing every part of the entry journey works.

  • Use Preview Page to check your landing page on desktop and mobile.

  • Complete a full entry using a 100% discount code, checking the form shows your logo and asks for everything you need.

  • Check the confirmation email arrives and looks right.

  • Remove yourself from the participant list afterwards.
