📣 Phase 1 — opt-in feature: The new reports experience is currently in Phase 1 and available as an opt-in. You can switch between the new and legacy interfaces at any time using the Switch to legacy reports toggle in the top-right corner of your reports view.
We're rolling out a new reporting experience designed to give event organisers faster, more flexible access to their data. Phase 1 covers the following report types:
All Sign Ups
Participants, Teams and Waiting Lists (Individual & Team) for a specific event
Sales Orders
Donations
Additional report types will be added in future phases. This article focuses on the participant report — the principles for filtering, column management, and exporting apply consistently across all three.
Getting to your reports
From your event dashboard, navigate to the Sign-ups tab and select Confirmed from the sub-navigation. By default, the view shows all confirmed, non-archived participants across every ride in your event.
💡 A record count is displayed in the search bar so you always know how many entries match your current filters at a glance.
Understanding the filters
The filter bar at the top of the report lets you narrow down participants quickly. The following filters are available by default:
Ride — filter to one or more specific rides within your event.
Archived status — defaults to non-archived. Toggle to include archived records if needed.
Status — filter by registration status such as Complete, Pending, or Cancelled.
Filters can be combined. Click Reset at any time to return to the default view.
💡 Use the Filter button in the top-right corner to access additional column-level filters — great for slicing by gender, age bracket, club, or bib number assignment.
Customising your columns
Click Columns to choose which data fields appear in your table. You have access to a wide range of data points per participant — from registration basics like name and ride, through to age on day, gender, club affiliation, and bib numbers.
Toggle the fields you need on or off. Your column selection is saved per view, so you can maintain different configurations for different workflows.
Saving and managing views
Views let you save a combination of filters and columns as a named preset, so you don't need to rebuild your configuration each time.
Set your filters and columns as needed.
Click + New view and give it a descriptive name.
Your view will appear as a tab alongside All, letting you switch between configurations instantly.
Exporting your data
Click Export to download participant data. The export reflects your currently applied filters and column selection — so it's worth configuring those first to get exactly the data you need.
💡 Need to send a filtered list to a supplier or volunteer coordinator? Set up your view, export, and you'll have a clean, targeted spreadsheet ready to share.
Saving a segment
To reuse a filtered group of participants for communications or future reporting without exporting, use Save as segment. Segments can be used when contacting participants or setting up targeted messaging campaigns.
Sharing your report
The Share button generates a shareable link to your current report view — useful for giving team members or stakeholders read-only access to a specific filtered view without them needing to navigate the platform themselves.
Managing individual participants
Each row in the table has a Manage button on the right-hand side. Clicking this opens the individual participant record, where you can view full registration details, make changes, or take actions such as issuing a bib number or processing a transfer.
Switching to legacy reports
The new and legacy reporting interfaces run side by side during Phase 1. Use the Switch to legacy reports toggle in the top-right corner at any time to return to the previous experience. No data or settings are affected by switching.
