Useful Participant Segments to Get You Started

You don't need hundreds of segments to get value from targeted messages. A handful of well-chosen audiences can help you sell more extras, send clearer event information and make every participant feel looked after.

Here are some ready-made ideas you can set up in minutes and reuse for every event.

How to use these ideas

Each example below shows what the segment is for, how it helps you and the filters to use. Text in square brackets, such as [Select event date], is where you add your own details.

These are participant segments, for people entered into a specific event. To create one, go to your event's Sign Ups, open Segments and click New Segment. Because segments stay up to date automatically, anyone who enters later is included without you lifting a finger.

New to segments? Start with our introduction to segments, which explains what they are and how to create one.

Segments that boost your income

Participants who haven't bought an add-on

Use it to: remind people about T-shirts, medals, photos or other extras they may have missed when they entered.

Why it helps: people often skip extras while they're focused on entering. A friendly reminder closer to the event, when excitement is building, can bring in extra income. And because people who've already bought won't get the email, nobody feels pestered.

Filters:

  • Products → Purchased Products

  • Event Date: Is on [Select event date]

  • Status: Is Complete

  • Products Purchased: Is not [Select the add-on(s)]

Tip: send this a few weeks before any order deadline, and show a photo of the item. A clear deadline ("Order by 1 May to get yours on race day") gives people a reason to act now.

Segments for clearer, more personal messages

Participants in a specific race

Use it to: send information that only applies to one race, such as start times, wave details or route changes.

Why it helps: if you run several distances, people only get the information that's relevant to them. That means less confusion on the day and fewer "does this apply to me?" emails.

Filters:

  • Registration Category: Is [Select race]

  • Status: Is Complete

Participants under a certain age

Use it to: send age-specific messages, offers or opportunities. For example, a youth development squad for under-18s, or a social media campaign aimed at under-30s.

Why it helps: different age groups respond to different messages. For junior participants, it's also an easy way to make sure parents and guardians get important safety or consent information.

Filters:

  • Age on Day: Is less than [Enter age]

Participants from a particular booking source

Use it to: understand and talk to people who entered through a specific channel, such as a race listing site or partner.

Why it helps: people who found you through a marketplace may know less about your event than your regulars. A warm welcome with the key information helps them feel part of it, and turns a one-off entrant into a returning fan.

Filters:

  • Source: Is [Select booking source]

Participants interested in volunteering

Use it to: recruit marshals and helpers from people who said they'd like to get involved when they entered.

Why it helps: they've already put their hand up, so they're far more likely to say yes than a general appeal.

Filters:

  • Interested in Volunteering: Is Yes

Participants who used a discount code

Use it to: follow up with people who entered through a club, partner or promotion code. For example, thank a club's members or share a club-specific meeting point.

Why it helps: it lets you see which partnerships are working and keep those groups engaged.

Filters:

  • Discount Code: Is [Enter discount code]

Tips for getting the most from these segments

  • Mix and match. Combine filters to get more specific. For example, under-18s in your 5k who haven't bought a T-shirt.

  • Name them clearly. "2027 Riverside 10k – no T-shirt" is much easier to find later than "Segment 1".

  • Reuse them every year. Because segments update automatically, you can set them up once and use them for each new edition. Just update the event date.

  • Keep each message focused. One clear message to one clear audience works better than trying to cover everything.
