Event-Specific Emails

Event Email Templates can be customised individually to differentiate them from the Global Templates applied when creating an event. This allows you to tailor emails for specific events or participant groups without affecting the global settings.

Accessing Event-Specific Emails

You can find this feature in the dashboard:

Event > Setup > Emails


Customising Event Emails

  1. Click the Edit button next to the email you want to modify.

    • This opens the same email editor used for Global Templates, complete with a Live Preview of changes.

❗ If no edit button is visible, you may need to enable the email first.

  1. Customised Subject

    • Default example: Entry Confirmation - %occasion_name%

    • Edit as needed for the event.

  2. Message Body (adding custom text)

    • Add the text you want included in this email for all races.

    • The Live Preview screen on the right updates in real time as you type.

  3. CC this email to…

    • Add one or more email addresses separated by a semicolon.

    • Visible only for the Entry Confirmation Email.

  4. BCC this email to…

    • Add one or more email addresses separated by a semicolon.

    • Visible only for the Entry Confirmation Email.

  5. Optional: Race (ticket)-Specific Text

    • Select a Race/Ticket from the drop-down menu.

    • Add text in the Race Specific Text field to apply only to that race.

    • The Live Preview updates in real time.

❗ Ensure the %custom_message% merge tag is present in the template for Message Body text to appear.

❗ Ensure the %registration_category_confirmation_email_text% merge tag is present for Race Specific Text.

  1. Save Changes

    • Remember to save before navigating away—unsaved changes will be lost.


Resetting Event Email Templates

  • Use Default (Live Preview): Restores the default template without affecting the preview functionality.


Editing Event Email Templates

Editing an Event Email Template will disconnect it from its respective Global Template.

  • Implication: Updates made to Global Templates will no longer apply to this Event Template.

  • Recommendation: Avoid editing Event Templates unless necessary.
