Assigning Bib Numbers

Assign bib numbers to your participants and include this information in emails, reports and the scanning app

Assigning bib numbers to participants is an essential step that helps streamline event management and communication. By assigning bib numbers, you can include this important identifier in emails sent to participants, making it easy for them to confirm their registration details.

Additionally, eventrac allows you to quickly view the bib number assigned to each participant directly in the scanning app, providing an efficient way to manage and track participants during the event. This helps ensure that every participant receives the correct information and that event operations run smoothly.

eventrac provides a flexible way to assign bib numbers to participants based on one or more criteria i.e. by last name is ascending order, race/wave in descending order, gender, and many more options


Enabling Bib Number Assignment

Note: Before you can assign bibs for an event, first you need to make sure that the feature is enabled. Follow the below steps to enable this feature

Navigate to a given Event > Setup > Basic Info

Scroll down to the Advanced Options section (you may need to expand it by clicking the plus icon on the right), and ticking “Enable bib number assignment”.

Click “Submit”


Assigning Bib Numbers

Navigate to a given Event > Signups > Bib Numbers

Select the race(s) for which you want to assign bib numbers. You can select one or more races

Choose the strategy you wish to take:

Assign to all participants

This will assign bib numbers to the participants in the races you selected above regardless if they already have a bib number i.e. this will overwrite anyone already with a bib number

Only assign numbers to participants without a bib number

This will only assign bib numbers to those participants who do not already have a number.

Clear

This will clear the bib numbers for anyone in the races you selected above.

Specify the order - This will set the sorting rules the system uses when assigning bib numbers. You can assign more than one criterion. For example, if you want to assign bib numbers by last name in alphabetical order, simply choose Last name in the field column and ascending in the sort order column.

If you want to add more than one sorting condition you can use the + icon in the top right of the box

Enter your bib number range - This is the range of bib numbers you want assigned to your participants. You can assign one or more ranges of numbers and/or individual numbers. For convenience, you can also prepare your range in a text file and upload this.

Note: when entering your bib number sequences, be sure to hit enter after each number/range i.e 1-100 (enter), 120 (enter), 125 (enter), and so forth. Each number/range should be in its own green box as per the illustration below

Uploading a range of numbers from a file

It is also possible to upload a range of numbers from a text file. To do this, click in the range area and “Choose file” will appear. You can now upload a text file with your ranges. The text file should be formatted as follows 1-100, 120, 125, 200-300 etc.. An example file can be is attached here: bib_ranges_example.csv

When done, click the green button Assign

The system will now assign bib numbers to your participants. This process runs in the background and could take a few moments depending on how many numbers you are assigning.


Viewing Bib Numbers

Once bib numbers have been assigned, there are a number of ways to view them:

  1. Exporting a Participant Report and including a bib number

  2. Viewing a Participant <link>

  3. In the Scanning App <link>
