Adding Participants Manually

Eventrac supports both bulk imports and individual manual entries, making it easy to consolidate participant data.

There may be times when you need to manually add participants to your race list. This could be because:

  • Participants paid outside of Eventrac (e.g. by cheque or bank transfer).

  • You want to add participants who registered through another system or offline method.


Importing Participants from Another System

If you have a full list of participants from another entry platform, we recommend using the import feature. This allows you to bulk upload participants and manage them within your Eventrac admin panel.

Adding Individual Participants

For one-off or smaller additions, you can quickly add participants manually:

  1. Go to the Sign-Ups section of the event.

  2. Click Add a Participant.

  3. Select the race you want to add them to.

  4. Associate the participant with an existing account, or create a new one.

  5. (Optional) Prevent this participant from transferring their entry.

  6. Enter their email address (required).

  7. Assign a Bib Number if needed.

Fill out the rest of the entry form fields โ€” these will mirror your original form, including affiliations, custom questions, and Terms & Conditions.

  1. (Optional) Specify the booking source (e.g. โ€œon the dayโ€ or โ€œofflineโ€).

  2. Click Continue & Enter to save.

๐Ÿ’ก Tip: Keep a consistent naming convention for booking sources to make reporting clearer.


Important Notes

  • All fields from your original entry form will appear here, ensuring consistent data capture.

  • Only the email address is mandatory โ€” enter what you have available.

  • Once saved, the participant automatically receives a confirmation email.
