More than just a receipt, it's your first opportunity to welcome participants, reinforce your brand, and provide important event information while engagement is at its highest.

By default, Eventrac includes all the essential booking information using dynamic merge tags, ensuring each participant receives details specific to their registration. While the default template is designed to work well out of the box, we strongly recommend personalising it to reflect your event and answer common participant questions from the very beginning.


Why Personalise Your Entry Confirmation Email?

Participants are most engaged immediately after they've entered your event. They're excited, planning their training, and far more likely to read your communications than at almost any other stage of their journey.

A well-crafted confirmation email can:

  • Reinforce your event branding

  • Set expectations before event day

  • Reduce common participant enquiries

  • Promote merchandise, upgrades, or partner offers

Taking a few minutes to personalise this email can significantly improve the participant experience while reducing the volume of support requests you receive.


What Should You Include?

In addition to the booking information already provided by Eventrac, consider including:

  • Important event-day information (for example, restrictions on headphones or dogs)

  • Key logistical details such as parking, transport, or arrival guidance

  • Links to your Event FAQs

  • Merchandise, training plans, or other available add-ons

  • Sponsor or partner promotions

  • Information about your chosen charity or local cause

Keep the content concise and focus on information participants are most likely to find useful immediately after entering.


Important: Merge Tags

The default template uses merge tags to automatically populate participant-specific information, such as booking details and event information.

Important: We do not recommend editing or removing merge tags unless you fully understand their purpose. Removing them may prevent participants from receiving important booking information.

Review your Entry Confirmation Email before every event launch to ensure it reflects the latest event information, branding, and participant guidance.
