Pre-Paid Tickets

Allow bulk ticket purchases without requiring participant details upfront

What are pre-paid tickets?

Pre-paid tickets allow an organiser or purchaser to buy multiple event entries in a single transaction — without needing to enter individual participant details at the time of purchase.

A lead booker distributes tickets to participants, who each complete their own registration later. Once a participant finishes their registration, the ticket is fully assigned to them and they can manage their own booking.

This is ideal for corporate teams, charities, and group entries.


Setting up pre-paid tickets

Navigate to: Dashboard → Event → Setup → Race → Ordering Options

Scroll to the Charity/Corporate Tickets (Pre-paid) section and check Enable charity/corporate tickets (pre-paid). Additional settings will appear below.

⚠️ Note: When pre-paid tickets are enabled, some entries may be sold without participant details being immediately completed. These unassigned tickets can be viewed in the Pre Pay section of the Event Sign-Ups dashboard.

Configuration options

Min tickets per transaction — Minimum of 2 tickets required per order.

Max tickets per transaction — Up to 300 tickets per order.

Pre-pay completion deadline — The deadline for participants to complete their registration. Defaults to the event date if left blank.

Pre-pay closing date — The last date pre-paid tickets can be purchased. Defaults to the event date if left blank.


Enabling auto reminders

Auto reminders help ensure invited participants complete their registration. Check Enable automatic reminders, then configure:

Max reminders — Up to 3 reminders per participant.

Days between reminders — Set an interval of up to 31 days.

💡 Reminders are sent automatically to anyone who has been invited but hasn't yet completed their registration. You can customise the email template used for these reminders.


How it works for participants

  1. The ticket is linked to the purchaser and they receive an email with a distribution link

  2. The purchaser forwards the ticket email (or link) to each participant

  3. Each participant opens the link and completes their registration details

  4. The ticket is automatically reassigned to the participant's profile


Revoking a ticket invite

Administrators can revoke a ticket invitation at any time — for example, if a ticket was assigned to the wrong person, a participant is no longer attending, or the ticket needs to be reassigned. Revoking an invite returns the ticket to an unassigned state so it can be redistributed.


Reporting & managing tickets

Navigate to: Dashboard → Event → Sign-Ups → Pre Pay

This report shows all pre-paid tickets including unassigned, partially completed, and fully assigned entries.

💡 Duplicate-looking entries typically indicate tickets that have been purchased but not yet fully assigned to a participant.

Filters & search — Filter by reference number, team name, registration category, or status. Click Regenerate Report to refresh results after filtering.

Sorting — Sort by reference number, pre-paid date, purchaser name, contact email, category, status, or team.

Exporting data — Export the full report or transaction data using the export options in the Pre Pay section.

Sending manual reminders — Click Send Reminder and confirm to send a one-off reminder to all participants with incomplete tickets.

⚠️ Note: Manual reminders are sent to all incomplete tickets, regardless of whether automated reminders have already been sent.
