Setting Up Participant Self-Management

Eventrac's self-management features reduce admin overhead by letting participants handle their own entry changes — from updating personal details to transferring their place.

⚠️ Before you start: You must have an entries closing date set on your event. This acts as the default deadline for all self-management features if no other date is configured.


1. Personal & Registration Information

Allow participants to update their own contact details, address, and registration answers (excluding their name).

How to enable:

  1. Go to Race Details → User Management Configuration

  2. Tick Allow participant to manage their entries

  3. Set a self-management deadline — leave blank to default to the event closing date


2. Transfer to Another Person

If a participant can no longer attend, they can transfer their place to someone else.

How to enable:

  1. Go to Event → Setup → Race → User Management Configuration

  2. Tick Allow participants to transfer to another person

Once enabled, you can configure:

Option

Details

Waiting list transfers

Allow transfers to waitlisted participants (only if the event is full)

Transfer deadline

Set a cutoff date for person-to-person transfers

Admin fee

Choose how fees are handled — External (participants manage payment themselves) or System (new participant pays via the platform; original participant is auto-refunded)

Don't forget to Save at the bottom of the page.


3. Race Transfers (Event or Distance Changes)

Let participants switch between events or distances after signing up.

  • If a participant moves to a higher-priced ticket, they pay the difference

  • If they move to a lower-priced ticket, the difference is not refunded

How to enable:

  1. Go to Event → Basic Info → Race Transfer Settings

  2. Tick Allow participants to change race after signing up

  3. Optionally add an admin fee

Additional options:

  • By default, participants can transfer to any race across all live events in your account, including different dates. To restrict this, untick the last box and select specific events from the list

  • Toggle whether original discounts are re-applied on transfer

Click Submit to save.


4. Self-Cancellation Policy

If entries are open for an extended period, consider offering a self-cancellation policy for early entrants.

How to set up:

  1. Go to Organisation Settings → System Options → Cancellation Policy

  2. Give the policy a name (multiple policies are supported)

  3. Configure the rules:

    • Timeframe before event date

    • Timeframe units — days, weeks, or months

    • % of ticket fee retained by the organiser
