Renew races year on year with just a few clicks and open your events for entries

Eventrac offers a simple method of renewing races year on year. With just a few clicks you can renew and re-open races for future years.

Info: Eventrac is designed to create “evergreen event pages”. This means that when renewing your events, its a simple case of creating new races.


Renewing Archived Races

A race becomes archived once the date/time is in the past (or if opting to renew manually, when you click “Archive”). Archived races can be renewed to make setting up future editions quick and easy.

  1. Navigate to the event in which you wish to duplicate a category and select Setup > Races.

  2. Click the Archived Races button in the top right.

  3. You will now be presented with a list of archived races. From here click copy for the race you wish to renew

    Note: Clicking copy alone does not instantly duplicate the race. It instead pre-populates the form making it easy to review the information before you create the new race

  4. Click OK on the popup window to confirm you would like to copy this category.

  5. Check the form to ensure all the details are accurate. The below fields are what we recommend checking as a priority

    • Race Name - This will initially match the name of the copied ticket, prefixed with “COPIED: “. If there is no date in the name then just remove the prefix. Otherwise, update the date accordingly

    • Start Date/Time - When creating a repeating event, ensure the date is updated (including when online entries should close). If creating a similar category/distance, does your new distance start at a different time?

    • Entry Restrictions - If changing the distance, are your age requirements different?

    • Capacity - Update capacity to ensure you don’t oversell.

    • Pricing - Update your pricing structure, including affiliation or other discounts, where necessary.

    • Cancellation Policy - If you have one enabled, does it also apply to this category?

    • Privacy - Select whether your race should be hidden.


Copying Races

Just the same as renewing an archived race, you may also wish to copy a race that is already setup for the future. An example might be if you offer different distances at your event and they all carry the same details except the start time, age restriction,s and pricing. In this case, you can use the copy feature as a convenient way to pre-populate much of the race setup form.

  1. Navigate to the event in which you wish to duplicate a category and select Setup > Races.

  2. Identify the race you wish to renew and select Copy.

  3. Click OK on the popup window to confirm you would like to copy this category.

  4. Review and submit the form
