How to Accept Entries and Sync Events on Ahotu (ahotu.com)

How the integration works

Ahotu has its own payment mechanism and requires that all transactions take place directly on their platform through their payment gateway. Ahotu is responsible for paying organisers when a booking is made via their site.

eventrac streamlines this process by ensuring that any booking made on Ahotu for your events is automatically sent to your eventrac account—so you only need to manage participants from one central platform.

eventrac also keeps your event details in sync by making real-time updates available to Ahotu, ensuring your listings are always accurate across both eventrac and Ahotu. This includes the entry form, open/close status and pricing.


Accessing the Ahotu Integration

Click the "Integrations" icon in the top right of your dashboard


Enabling the Ahotu integration

Navigate to the Ahotu integration and click Manage

Then click the green “Setup” button

You will be presented with a popup, showing

  1. A webhook URL - The URL that is used to accept new bookings. This is provided by eventrac and should be added to your Ahotu account (via Race Office)

  2. Ahotu Signing Secret - The key used to verifiy the authenticity of any bookings coming via the webhook. Supplied by Ahotu and must be added to eventrac. See section below Obtaining your secret key through Race Office

Obtaining your secret key through Ahotu (Race Office)

Race Office is Ahotu’s event management platform, giving organisers the ability to view and manage their event listings. When using the eventrac integration, you won’t need to log in to Race Office to manage bookings—everything can be handled directly within eventrac. However, accessing Race Office is required initially to set up the integration.

Navigating the Ahotu race office can be complex. We strongly suggest you contact Ahotu directly [email protected] who will provide support in setting up your Ahotu account and providing the Ahotu signing secret

Getting your signing secret key from Ahotu (Race Office)

  1. Navigate to Race Office

  2. Click Integrations > Webhook API (Settings)

  3. Click “Add New Endpoint”

  4. Enter the eventrac Webhook URL (from the pop as described above) and click “save”

  5. Click on the newly created endpoint to retrieve your signing secret. You can then copy/paste this into eventrac under the “Ahotu Signing Secret”


Managing the Ahotu Integration

Once the Ahotu integration is enabled, the team at Ahotu will ensure that your events on their platform are setup and linked to your eventrac events. We provide an automated interface whereby they can retrieve your event details in real-time. Further changes to your events are automated.

Note: If you add a new event on Eventrac, you should alert the team at Ahotu so they can ensure it's linked and ready to accept bookings.

Updating Event Settings on Ahotu

Once you have setup the Ahotu integration, you may wonder how you ensure any changes you make to your event are reflected on Ahotu. The good news is that eventrac automatically provides this information to the Ahotu system, meaning if you close a race, it becomes full you you change the price etc.. these changes will automatically be reflected on Ahotu.

Note: While eventrac makes this information immediately available to Ahotu, there could be a delay in Ahotu updating this information.


Reporting on Ahotu Bookings

As Ahotu generates you new bookings, you will likely want to see exactly how many participants you are acquiring from their platform. Eventrac makes this easy by tagging each participant with the Ahotu booking source. You can view which participants have come via the Ahotu integration in a number of ways:

  1. Viewing an individual booking and looking at the “Acquisition Source” <link>

  2. Reporting on your participants and including the “Booking Source” column <link>

  3. Managing the integration which will show the last 20 bookings from this source


Frequently Asked Questions

How do I get paid for bookings taken through Ahotu

Ahotu manages transactions directly on their own platform. As such, any payments collected on their platform will be reported and paid by their platform.

Can I automate emails to participants who book via Ahotu

Yes, when a booking is generated via Ahotu, the participant details will be sent through to your eventrac account. These bookings are treated the same as if they booked directly with you, meaning your regular confirmation emails will be sent as soon as they book.
