Create and manage discount codes effortlessly to boost ticket sales and drive event attendance

Discounts can be a powerful way to promote an event and incentivise registration for individuals, groups, clubs, charities, and other organisations, or to reward returning participants for their loyalty.

Each discount is given a unique code that users enter at checkout to auto-calculate the new amount for any qualifying discounts. Discount codes can be configured to work on all items (events, courses, orders and membership), a specific item or even a group of items. You can control how many times the code can be used, when it can be used, and when it should expire

Discount codes can be created both individually or in batches - as either a % of the ticket price or as an absolute amount.

Creating bulk discount codes is useful if you want to have multiple individual discount codes.


Accessing Discount Codes

Using the left menu, click Discount Codes

Click Add Discount Code(s) on the top navigation bar

Enter the details of your new code

  • Code: Give this discount a relevant name (which users will use at checkout) i.e. SPRING10

  • Description: Provide a brief description so you can easily identify what this codes offers (for admin use only)

  • Date To/From: The date range the code can be used

  • Number of usages: Set how many times this code can be used. NOTE: This is the number of items in total it can be applied to. If you set this number to 1 and someone has two qualifying items in their basket, the code would only apply to one of these items.

  • Discount Type: Choose either absolute i.e. £5 off or percentile i.e. 10% off

    • Absolute - A fixed amount off i.e. £x off each item

    • Percentage - The percentage off each item i.e. x%

  • Discount: The actual discount that this code will reduce the race price by. Either a price or a percentage (depending on the discount type)

💡 Tip: You can offer a 100% FREE discount code. To enable this, simple choose a discount type of "Percentile" and enter 100.00 in the "Discount" box.

Setting The Rules on which items the discount code can be applied to

When creating discount codes, you may want to restrict it to a certain item, or group of items or make it usable on any items a user has in their basket. This can be easily achieved with the following options:

Restricting a discount code to a single item

If you want to restrict the code to a single item, simply tick the box next to the item this code can be applied to.

💡 Tip: If you have created a race series, and would like the discount to apply to the series, ensure this box is ticked. If left unticked, the discount code will not further reduce the price of the series.

Restricting a discount code to a group of items

If you want to restrict the code to a group of items i.e. all events, simply click the box next to the corresponding “global discount codes” item.

Reporting on Discount Codes

Once you have created Discount Codes, you will likely want to see exactly how many codes have been used and how many usages are remaining. eventrac makes this easy by providing a reporting dashboard showing you all discount codes. eventrac will also tag the discount code to any participants, orders or members that have used this code.

Viewing all discount codes

Using the left menu > Discount Codes > All Discount Codes

Here you will find a list of all your discount codes. This report will show you the following:

  • Code - The unique identified that users must enter at checkout to redeem the discount

  • Discount - The absolute or percentile amount this discount code offers

  • Global Events - If it can be used against any events

  • Global Memberships - If it can be used against any memberships

  • Global Products - If it can be used against any products

  • Date From - The date the code is valid from i.e the first day someone can use this (starts at 00:00:00)

  • Date To - The date the code is valid to i.e the last day someone can use this (runs until 23:59:59)

  • Uses - Shows how many times the codes have been used. Red indicates there are no usages available and green indicates there are still usages available

  • Actions - Further actions you can take with this code

Note: If you do not see your discount code, you may need to toggle the “Exclude expired/future discount codes” and filter the report

Viewing an individual discount code

If you want to get a deep insight into how your discount code is being used, click view on the discount code you want to view. Here you will see how many times the code has been used, on what items it has been used, and also a breakdown of each user who has used the code

💡 Note: When viewing a participant, order, or membership, eventrac will also show you if a code was used at the time of booking for these items


Editing Discount Codes

Once a code has been setup, you can edit it at any time. This might be to extend the usage period, increase or decrease the number of usages or fine-tune which items it can be redeemed against.

💡Tip: If you are wanting to re-use an existing code i.e. if you made a code last year and want to re-use it, you can edit it to effectively “re-activate” it.


Linking Discount Codes to Users

There may be occasions when you want to issue a code to a specific user. This might be for example if they volunteered at your event.

In this case, you can use the Link to users button. This will then allow you to link the code to one or more users.

Users can then find these codes in their user profile which makes it quick and convenient for them to use
