Avelon: Grow your entries with affiliate marketing

Partner with influencers through Avelon and reward them for the entries they bring in.

Written by Aaron Bird

Reach new participants by partnering with influencers who promote your events, and only reward them for the entries they bring in.

Avelon is an affiliate network that connects event organisers with influencers. Each influencer is given their own discount code to share with their followers. When someone books with that code, eventrac tells Avelon about the booking, so the influencer gets the credit for it.

Setting it up takes four steps: create an Avelon account, connect it to eventrac, add an affiliate and a discount code in Avelon, then create the same discount code in eventrac.

Step 1: Create your Avelon account

Sign up for an account at avelonetwork.com. Once you're set up, you'll be able to log in to the Avelon dashboard.

Avelon requires an initial discussion with new accounts to support selecting the best affiliates for your events/business

Step 2: Connect Avelon to eventrac

eventrac needs two pieces of information from Avelon: a bearer token and an API host. Think of these as a password and an address that let eventrac and Avelon talk to each other securely.

Get your bearer token from Avelon

  1. In Avelon, click Settings from the left menu.

  2. Under Account Information, click Avelon API tokens.

  3. Click Generate.

  4. Click the eye icon next to your new token to show it, then copy it.

Keep this token private, as it gives access to your Avelon account.

Get your API host from Avelon

  1. In Avelon, click Dashboard, then the Links tab.

  2. Find the link for your homepage (it will be named after your account) and click the code icon (</>).

  3. A box will open showing a link. Your API host is the part between https:// and /c/, for example https://youraccount.avln.me.

Add both to eventrac

  1. In eventrac, go to Dashboard → Integrations.

  2. Scroll down to Avelon and click Manage.

  3. Click Connect.

  4. In API Host, enter your API host, starting with https://, for example https://youraccount.avln.me.

  5. In Bearer Token, paste your token.

  6. Click Save.

You'll see a green Connected label once it's working.

Step 3: Add an affiliate and their discount code in Avelon

Finding affiliates

Browse the influencers available in Avelon to find the right fit for your event. Influencers can also apply to promote your events, and their applications appear under My Affiliates → Applications, where you can approve or deny them.

We'd recommend having a chat with the Avelon team at this stage, as they can help you find the right affiliates and agree how they'll be rewarded.

Giving your affiliate a discount code

  1. In Avelon, click My Affiliates from the left menu, then the Promo codes tab.

  2. Click Add promo code.

  3. Choose the affiliate from Select affiliate.

  4. Enter a promo code, for example AVELON123. Each code must be unique.

  5. Set the discount your participants will get, either as a Discount % or a Discount flat rate in pounds.

  6. Click Add.

Make a note of the code and the discount, as you'll need them in the next step.

Step 4: Create the same discount code in eventrac

This is the most important step. Avelon only tracks the code. It's eventrac that applies the discount to your participants, so the code needs to exist in both places.

From the left menu, click Promotions → Discount Codes and add a new discount code, making sure that:

  • the Code is exactly the same as the one in Avelon

  • the Discount Type and amount match Avelon, for example percentage and 10 in both

  • Active is ticked

  • the valid from and to dates and the number of uses are long enough to cover your campaign

You can also choose which events, series, memberships and products the code works for, and whether it can be combined with multi-buy discounts. Click Submit when you're done.

Sharing the code

When you add a promo code in Avelon, your affiliate is sent an email with their code by default. They can also see it in their own Avelon account, so they can start sharing it with their followers straight away.

Seeing your Avelon bookings

When someone books using the code, eventrac sends the details to Avelon. Once Avelon confirms the code belongs to one of your affiliates, the booking is marked as an Avelon booking in eventrac.

You can see these bookings in two places:

  • All Sign-ups: add the Booking Source column, and Avelon bookings will show as Avelon.

  • The Avelon integration page: go to Dashboard → Integrations → Avelon. Bookings reported to Avelon are listed under Bookings.
