🤖 Train Your AI Agent to Answer More Participant Questions

Your AI Support Agent has been answering participant questions around the clock. But with just a few minutes of training, you can make it even more helpful and reduce the repetitive enquiries your team needs to handle.

Written by Angus Williams

Your agent already uses information from your event description, FAQs and terms and conditions, and can read your course maps. You can now review its interactions through AI Insights and provide extra context through Additional Instructions.

The best place to start? Look at the questions your participants are actually asking.

1. Review the Questions Participants Are Asking

Open AI Insights to review the conversations your agent is handling and identify questions that come up repeatedly.

Are participants asking about parking, transfers, spectators, race-day arrangements or other details specific to your event?

Ask yourself:

Does my AI Agent have the information it needs to answer this question accurately?

If not, you have two options:

  • Update your event information if something is missing or unclear.

  • Add an instruction if your agent needs extra context or guidance on how to respond.

Think of it as a simple cycle:

Question → Review → Improve → Better response

2. Give Your AI Agent More Context

Your existing event information gives the agent its foundation. Additional Instructions let you provide extra context about your event and guide how your agent responds.

You'll find this section under:

Dashboard → Event → Setup → FAQs → AI Agent Settings

An easy win: Add your event brief

Your event brief is a great starting point. It often contains useful details, practical information and background that may not appear in your event description or FAQs.

Try copying and pasting your event brief into Additional Instructions to give your agent more context to draw on when answering participant questions.

Make sure the information is accurate, relevant and up to date, and remove anything that shouldn't be shared with participants.

Other ways to guide your agent

You can also use Additional Instructions to help your agent represent your event in the way you want.

For example, you could ask it to:

  • Set the tone: Keep responses friendly, welcoming and encouraging.

  • Highlight relevant offers: Mention your referral scheme or merchandise when appropriate.

  • Clarify policies: Explain your cancellation policy clearly and avoid suggesting options that aren't available.

  • Explain what makes your event unique: Provide useful background or details that participants might ask about.

Give it guidance, not a script. Keep instructions clear and specific, while allowing your agent to respond naturally to each participant's question.

3. Learn From Mistakes and Improve Responses

If your agent gives an incorrect or unhelpful answer, use it as an opportunity to improve.

  1. Find the conversation in AI Insights.

  2. Identify what was missing, incorrect or unclear.

  3. Update your event information or add a relevant instruction.

  4. Test the question again to check whether the response has improved.

Allow up to 24 hours for newly saved settings to be reflected in responses.

And remember, your agent won't always have the answer to every question. If it can't help with a participant's query, it will direct them to contact you.

Start Small and Keep Improving

You don't need dozens of instructions or hours of training to get started.

Simply:

  • Review the questions your participants are asking.

  • Fix any gaps in your event information.

  • Add extra context or guidance where needed.

  • Repeat as new questions arise.

A few minutes of regular review can help your AI Agent answer more questions accurately, represent your event consistently and reduce the repetitive enquiries your team has to handle.
