AI Agent Settings

AI Agent Settings allow you to customise how your AI Support Agent responds for a specific event.

Use these settings to provide additional context, reinforce important policies, or shape the tone of your agent's responses. This helps ensure participants receive answers that are accurate, consistent, and tailored to each event.


What are AI Agent Settings?

AI Agent Settings let you add event-specific instructions that guide your AI Support Agent's behaviour.

These instructions apply only to the selected event and can be used to:

  • Request additional information from participants.

  • Highlight important event policies.

  • Provide context about sold-out products or services.

  • Adjust the tone and style of the AI's responses.

  • Ensure consistent messaging across participant interactions.

For example, you might instruct your AI Agent to:

  • Always ask participants for their booking reference number.

  • Remind participants to include their registered email address.

  • Explain that certain merchandise items have sold out.

  • Mention your event's transfer or refund policy.

  • Thank participants for getting in touch.


Accessing AI Agent Settings

To configure AI Agent Settings for an event, navigate to:

Dashboard > Event > Setup > FAQs > AI Agent Settings


Adding event-specific instructions

Under the Custom Instructions section, enter the guidance you would like the AI Agent to follow when responding to participants.

  1. Navigate to Dashboard > Event > Setup > FAQs > AI Agent Settings.

  2. Enter your instructions in the Custom Instructions text box.

  3. Click Save Settings.

For example:

Always ask participants whether they already have a booking and, if they do, request their booking reference number.

Or:

Tell everyone: "We hope you're having a fantastic day and appreciate you taking the time to check out [Event Name]."

You can include any information that helps the AI provide more relevant and helpful responses for that specific event.


Testing your changes

After saving your settings, visit your event page and interact with the AI Support Agent to confirm that the new instructions are being followed.

Testing your updates helps ensure the AI responds as expected before participants begin using the feature extensively.


Examples of effective instructions

Here are some examples of instructions that work well:

Collect important information

  • Always ask participants if they have an existing booking.

  • Request a booking reference number where applicable.

  • Ask participants to confirm the email address used to register.

Reinforce event policies

  • Inform participants that transfers close [x] days before the event.

  • Explain that refunds are not available after a specific date.

  • Advise participants to review the event terms and conditions.

Create a consistent tone

  • Thank participants for contacting the event team.

  • Welcome participants by referencing the event name.

  • Use a friendly and encouraging tone in all responses.


Please note: There may be a delay of up to 24 hours before newly saved AI settings are synchronised and reflected in your AI Agent's responses.

To get the best results from AI Agent Settings:

  • Keep instructions clear and specific.

  • Focus on guidance that applies to most participant interactions.

  • Review instructions regularly as event information changes.

  • Test updates after making changes.

  • Avoid adding conflicting or overly complex instructions.

Well-written instructions help your AI Support Agent provide a more personalised, accurate, and consistent experience for your participants.
