Introduction to Zapier

Zapier is a powerful automation platform that connects your favourite apps and services, allowing them to work together without requiring any coding knowledge. It acts as a bridge between different applications, enabling the automatic transfer of data and triggering of actions when certain events occur.

How Zapier Works

Zapier operates through what it calls "Zaps" - automated workflows that connect your apps and services. Each Zap consists of a trigger (an event in one app) and one or more actions (something that happens automatically in another app). For example, when a new customer signs up on your platform (trigger), you could automatically add them to your email marketing list and create a task in your project management tool (actions).

Types of Triggers

Trigger

Description

Participant

Triggers when a participant enters an event. It can also be configured to re-trigger if a participant moves to another race, edits their booking or their booking is canceled

Order

Triggers when an order is placed.

Donation

Triggers when a donation is made.

Membership

Triggers when a new member joins or renews on a given membership category

Trigger Configuration Options

Trigger Type: Participant


1. Opted into Communications:

The opt-in consent a participant gives when entering

Options:

  • Only those who are opted-in - Participants must opt into communications for this zap to trigger

  • All participants - Participants do not need to opt into communications for this zap to trigger

2. Event:

The event that a participant enters. Select one or more events for this zap to trigger. If none are selected, all events will be included in this zap

3. Participant Status:

The status(es) of the participant that should be considered when deciding if this zap should be triggered. If none are selected, any status will be considered

Options:

  • Complete - A participant has completed a booking

  • Waiting List - Joined - A participant has joined the waiting list

  • Waiting List - Invited - A participant has been invited from the waiting list

  • Removed - A participant has been removed from a race

  • Moved - A participant has moved to a new race

4. Re-trigger on update:

If this zap should be triggered when the participant details change i.e. if a participant updates their details or an admin moves them to a different race without requesting they pay a balance


Trigger Type: Order

1. Product:

The product that has been purchased. Select one or more products for this zap to trigger. If none are selected, all products will be included in this zap

2. Order Status:

The status(es) of the order that should be considered when deciding if this zap should be triggered. If none are selected, any status will be considered

Options:

  • Complete - A order has been purchased

  • Processed - An admin has marked the order as processed


Trigger Type: Donation

1. Charity:

The charity that has been donated to. Select one or more charities for this zap to trigger. If none are selected, all charities will be included in this zap


Trigger Type: Member

1. Membership Categories:

The membership category that a member has joined. Select one or more membership categories for this zap to trigger. If none are selected, all membership categories will be included in this zap

2. Groups:

The group(s) that a member has been added to. Select one or more groups categories for this zap to trigger. If none are selected this filter will not check if a member is in a given group

3. Renewing Type:

If this zap should only be triggered when a member first joins or on subsequent renewals

Options:

  • New Member: Only triggered for new members

  • Renewing Member: Only triggered on a renewal

  • Both: Triggered on both a new member and renewals
