Start with these guidelines for event emails
Send Tuesday to Thursday.
Aim for mid-morning or early afternoon.
Avoid very late at night or very early in the morning.
Give people enough time to act before any event deadline.
Treat these as starting points, not rules. A new event announcement and a race-day reminder may need very different timing.
Plan your event emails around your event timeline
When | What to send |
Event entries open | Event launch email to past participants |
A few days before early bird ends | Early bird countdown reminder |
A few days before event entries close | Last chance to enter the event |
After the event | Thank you, event results and next year’s event date |
Let your own event data guide you
Your event audience may behave differently. For example, your participants might book mostly in the evenings or at weekends.
Check the Timegrid insights on your Eventrac dashboard to see which days and times bring in the most event bookings, and how this changes as your event gets closer. Then plan your event email sends around those patterns.
Tip: look at when people book your event, not just when they open your emails. The time they take action matters more than the time they read.
